Two different roles
- Your own information, as a professional using Harmovi or a visitor to our website: we're responsible for it. This notice explains it.
- Your clients' information, their bookings and notes: you're responsible for it, and we look after it for you, under our Data Processing Agreement. Your clients have their own notice.
What we collect, and why
| What | Why |
|---|---|
| Your name and email | To sign you in and contact you about your account |
| Your business details, services, prices, hours, photos and description | To run your calendar and your booking page. Your booking page is public; your full address appears only if you choose |
| Your earnings, expenses and goals | To show your profit, tax estimate and plan |
| Your sign-ins and activity | To keep your account secure and let you end sessions |
| Technical records of errors and timings | To find and fix problems |
| Payment account details, if you take card payments | To set up your Stripe account and pay you out. Stripe runs its own identity checks under its own notice |
| Your agreement to our terms | To show what we both agreed |
Our legal basis is our contract with you for signing in, your business details, your finances, payouts and proof of what we agreed, and our legitimate interests in keeping the service secure, fixing faults and keeping that proof for your sign-in records, technical records and the website.
AI. Your briefing and coaching tips come from an AI model run by Cloudflare. It gets your numbers, never your clients' details.
No automated decisions are made about you that have legal or similarly significant effects.
Emails. We email you about your account and the service. Anything optional has a way to stop it in every email.
Cookies. One cookie keeps you signed in while you stay active. Stripe's payment screens set Stripe's own cookies to prevent fraud. No advertising or tracking cookies. We never ask you for your sign-in code.
Who we share it with
Only the companies that help us run Harmovi, under contracts that keep your information safe: harmovi.com/legal/sub-processors. We don't sell your information or use it for advertising.
Where it's stored
Our database is in Western Europe. Some providers may access data from the US, protected by the UK's approved safeguards; ask us for a copy.
How long we keep it
While your account is open. If you close it, you have 90 days to export everything, then we delete it, apart from records we must keep by law, such as invoices (6 years).
Your rights
You can ask to see, correct or delete your information, to restrict or object to how we use it, or to take a copy elsewhere (the Export button does most of this). Email hello@harmovi.com; we check who is asking first.
Complaints. Tell us first at hello@harmovi.com and we'll look into it. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Our website
The Founder Circle form opens your own email app; we only receive what you send. The site sets no cookies and runs no analytics.
Changes
If we change this notice in a way that matters, we'll email professionals before it takes effect.
